Privacy Policy

How personal information is used for KCPPS enquiries, admissions, training records and online services.

1. Who this policy covers

This policy describes personal information handled in connection with Kalpana Chawla Prodyogiki Prashikshan Sansthan (KCPPS), an autonomous training institute run by Sarv Jan Gramin Shiksha Welfare Society. It covers website enquiries and the institute's admission, student-record and portal services. The current office address, telephone and email for privacy enquiries appear below.

2. Information you provide

Enquiries: the contact form collects your name, email address and message, together with any phone number, subject and attachment you provide. A reference is created so the office can manage the enquiry.

Admissions and student administration: records may include your name, parent or guardian details, date of birth, contact details, address, photograph, identity documents including Aadhaar where collected for enrolment, previous qualifications and supporting certificates. Course enrolment, registration and roll details, fee-payment records, assessments, results and issued documents are also maintained for student administration.

Online access: result searches and student services use the identifiers requested on their forms to find the relevant record. Staff and branch accounts also use account credentials and session information. Provide information only for yourself or someone you are authorised to represent. Avoid including unrelated identity, financial or medical documents in a general enquiry.

3. Why information is used

Information is used to answer enquiries, check admission details, enrol students, allocate courses and batches, administer fees, manage assessments, issue student documents and support record corrections. Account and session information supports sign-in, permissions and administration of the service.

The office may use the contact details you provide to respond to your request or communicate about your enrolment and related services. Submitting an enquiry is not, by itself, permission for unrelated promotional use of your information.

4. Who may receive information

Relevant institute staff and the centre handling your enrolment process records for their administrative responsibilities. Hosting, storage and communication providers may process information needed to operate the website and respond to requests. Records may also need to be disclosed to an authority where legally required.

For a course involving an external assessment or awarding organisation, ask the admissions desk which organisation receives information and for what purpose before enrolling. This policy does not treat all organisations displayed on the website as recipients of every student's data. Any additional disclosure must have an appropriate basis, including consent where required.

5. Results, photographs and public content

The website provides result lookup and student-document services. Anyone with the required lookup information may be able to view the corresponding released record, so keep your student identifiers private and report access concerns to the office. Staff-only administration requires an authorised account.

Gallery photographs, notices and other material published on public pages can be viewed and copied by visitors. If you have a concern about your image or personal information appearing publicly, send the page address and a description to the office for review. Do not attach additional sensitive documents unless the office asks for them to verify your request.

6. Cookies, browser storage and external services

Staff and branch sign-in use session cookies. Administrative screens may store interface preferences in the browser. You can manage cookies and website storage through browser settings; blocking or clearing them may sign you out or affect account features.

Some pages include Google Maps, and the website links to social networks and external organisations. Loading an embedded map or opening an external service may send that provider information such as your IP address and browser details. Its own privacy and cookie policies apply to that interaction.

7. Storage, security and retention

Submitted information is held in the institute's records and the systems used to provide these services. Staff administration uses sign-in and role-based permissions. No online service can guarantee absolute security; do not send passwords, payment PINs or one-time passwords in messages or attachments.

Enquiry, academic and payment records can have different retention needs. Academic verification, accounting, legal obligations and unresolved disputes may require records to be kept after an enquiry closes or a course ends. Contact the office to ask about the retention or deletion of a particular record. Removing a record from an active screen does not necessarily erase archived records or backups.

8. Your choices, corrections and requests

You may contact the office to ask about your information, request access or correction, raise a privacy concern, or request deletion or withdrawal of consent where applicable. The office may need to verify your identity or authority before acting. Include only the details needed to locate your record initially.

You can choose not to provide information, although a service may be unavailable if it needs that information. A deletion or withdrawal request may be limited by applicable recordkeeping duties or other lawful grounds; it does not automatically cancel an enrolment or erase an academic result. Your rights under applicable law remain available.

9. Applicants and students under 18

A parent or lawful guardian should assist a minor with admissions and requests involving personal information. Contact the office before submitting a child's documents online so the relevant permissions and admission requirements can be confirmed. A child's use of the website alone should not be treated as guardian consent.

10. Privacy enquiries and updates

Use the office email, telephone or postal address below for privacy enquiries and complaints. An email subject such as "Privacy request" helps the office identify the matter. Describe the record or page concerned and the action you are requesting; you do not need to include a full identity document in your first message.

This policy may be updated when services or applicable requirements change. The date on this page identifies the current version. Publication of an update does not itself authorise a new, unrelated use of previously collected information.
